A hospitality ePOS system handles fundamentally different operations to a retail one. Retail is largely about products sold from stock. Hospitality involves table management, order routing, modifiers, covers, split bills, and the operational complexity of serving food and drink to people who are sitting down and changing their minds. The features a restaurant or café needs from an ePOS are specific, and a system built primarily for retail will create friction rather than remove it.

Why Hospitality ePOS Is Different from Retail

The core difference is that hospitality transactions are not fixed at the point of order. A customer at a table orders drinks, then food, then more drinks, then asks to add a dessert, then wants to split the bill three ways. Every step of that journey needs to be handled smoothly by the ePOS, often by different members of staff across different devices.

Orders in hospitality also need to get to where they are being fulfilled. A retail sale ends at the till. A restaurant sale triggers work in the kitchen, and possibly at the bar, at the same time. That routing function, getting the right order to the right place at the right time, is built into hospitality ePOS systems and absent from most retail ones.

Table management, floor plan views, covers tracking, and reservation integration are features specific to eat-in hospitality. A system that cannot represent your physical floor layout and show the status of each table in real time creates operational problems that no amount of workarounds will solve cleanly.

Table and Floor Management

The floor plan view is one of the most operationally critical features in a hospitality ePOS. A well-designed system lets you map your physical layout digitally and see the status of every table at a glance. Empty, occupied, order taken, waiting for food, bill requested.

This view is what allows front-of-house staff to manage a busy service without constant verbal communication. A server can see at a glance which tables need attention. A manager can see overall capacity and plan accordingly. Without it, the alternative is either a paper system running alongside the ePOS, or staff carrying the whole floor layout in their heads.

Cover counting matters for reporting. Knowing how many covers you did per service, per day, per week, and how that correlates with revenue and spend-per-head, is the most useful operational data a restaurant owner has. A hospitality ePOS should track this automatically rather than requiring manual recording.

Order Routing and Kitchen Display Systems

Order routing is how the ePOS gets information from front of house to where it is needed in the kitchen and bar. In most modern hospitality systems, this is done via a Kitchen Display System (KDS): a screen mounted in the kitchen that shows incoming orders in real time, allows kitchen staff to mark dishes as prepared, and creates a digital record of ticket times.

The alternative, printing kitchen tickets on a receipt printer, works but produces physical waste and requires staff to clear tickets manually. A KDS is cleaner operationally and gives much better visibility into kitchen performance. You can see how long tickets are taking, which courses are backing up, and where the bottlenecks are during a busy service.

Order routing should handle course management. Starters, mains, and desserts need to be sent to the kitchen at the right times, not all at once when the order is taken. A system that allows servers to hold courses and fire them at the appropriate moment saves significant operational friction compared to one that sends everything immediately.

Modifiers, Customisation, and Dietary Requirements

Hospitality orders are rarely simple. Customers add, remove, and swap ingredients. They have dietary requirements. They want sauces on the side and steaks cooked a specific way. Every one of those modifications needs to reach the kitchen accurately.

A hospitality ePOS should make adding modifiers fast and reliable. That means pre-configured modifier options (extra sauce, no onion, well done), free-text notes for unusual requests, and clear communication of those notes on the kitchen ticket. A system that makes entering modifiers cumbersome will either slow service or result in errors.

Allergen management is increasingly important and, depending on how it is handled, increasingly regulated. Some ePOS systems integrate allergen tracking so that items are flagged automatically when common allergens are present. This does not replace staff training, but it provides an additional layer of accuracy at the point of order.

Bill Management and Payments

Bill splitting is one of the features restaurants most frequently cite as important, and one where poorly designed systems create the most visible friction at the end of a meal. A good hospitality ePOS handles split bills by seat, by item, or by percentage, without requiring the server to calculate anything manually.

Service charge handling should be configurable. Whether you add it automatically, prompt the customer to add it, or leave it entirely optional should be a setting, not a workaround. The system should also handle partial payments. That includes a table paying partly by card and partly by cash, or a group where some people settle individually and others pay together.

Tab management matters for bars and venues where customers run tabs rather than paying per order. The ability to open a tab against a card, add orders to it throughout a session, and settle at the end is a specific feature that not all systems support cleanly.

What to Look for When Choosing a Hospitality ePOS

The operational features above are the starting point. A few additional considerations shape the decision for most hospitality businesses.

Offline capability. A restaurant that cannot take orders because the internet is down is an operational crisis. The system you choose should continue to process transactions locally when connectivity drops and sync automatically when it is restored.

Integration with delivery platforms. If you take orders through Deliveroo, Uber Eats, or Just Eat, those orders should feed directly into your ePOS and kitchen display rather than arriving on a separate device. The number of ePOS systems with robust delivery platform integrations has grown, but it is still worth checking specifically for the platforms you use.

Reservation integration. If you take bookings, your ePOS should know about them. Systems that integrate with reservation platforms such as OpenTable or Resy can automatically update table availability and show booking notes alongside the table in the floor plan view.

Reporting suited to hospitality. The reports that matter in hospitality are different from retail. These include covers per service, revenue per cover, spend on food versus drink, void and refund rates, and table turn times. The system you choose should produce these without requiring manual calculation.

Can I use a retail ePOS system for a restaurant?

In principle, yes. In practice, the friction created by missing hospitality features, particularly table management, order routing, and course management, makes a retail system poorly suited for sit-down food service. For a counter-service café or a food stall with simple operations, a retail-oriented system often works perfectly well. For a restaurant with table service, the operational gap between a retail and hospitality ePOS is significant enough to matter.

Do I need a Kitchen Display System or will kitchen printers do?

Either can work. Kitchen printers are lower cost and simpler to set up. A KDS gives you better visibility into kitchen performance, eliminates paper waste, and allows two-way communication between front of house and kitchen. For a small operation with a simple menu, printers are often sufficient. For a busier kitchen where ticket management and timing visibility matter, a KDS is worth the additional investment.

How many devices do I need for a restaurant ePOS?

It depends on the size of the operation. A small café might run on a single terminal at the counter. A restaurant with table service typically needs a terminal at the bar or service station, handheld devices for tableside ordering, and a KDS in the kitchen. Multi-location setups need terminals at each site with central reporting. Most modern cloud-based hospitality systems are priced per device or per location, so the cost scales with the complexity of your operation.

What happens to my ePOS data if I change provider?

Data portability varies by provider. Most cloud-based systems allow you to export your sales data, product catalogue, and customer records, but the format and completeness of that export differs. Before committing to a system, check what data you can export and in what format, and confirm whether historical reporting data is included. Switching providers is a real operational event and the ease of data migration should be a factor in the initial decision.
